Dear Steering Committee Members:

Autumn is just around the corner which means Eclipse Foundation Working Groups must turn their attention to the annual process of program/marketing planning and submission for calendar year 2025.

We strongly encourage all working groups to begin the development of both program plans and marketing plans (where applicable) as soon as possible as candidate program plans should be considered approved in principle by late October. 

After careful consideration and based on feedback received, we have extended the current timeline to include a consultation phase following the draft 2025 budgets being delivered to  steering committees.  By taking this approach, we are providing extra time for steering committees and Eclipse Foundation staff to discuss any budget matters to ensure the final outcomes are more aligned with everyone’s expectations and goals.  Ultimately, having a more collaborative process will benefit and enhance the overall experience for everyone involved.

2025 Program Plan and Budget Cycle/Timeline:

Program / Marketing Plan Development 
  • Solicit input/ideas from working group membership (starting mid September)
  • Draft plans created (Mid October)
  • Candidate Program Plan and/or Marketing Plan approved by respective Committee (prior to end of October)

Budget Development
  • Eclipse Foundation delivers draft budget based on program priorities (Early November)
  • Steering committee review of candidate program plan/draft budget - Consultation Phase begins (Mid November)
  • Program Plan and Budget confirmed by Steering Committee (Late November)

By way of reminder, Steering and Marketing Committees are peers.  There exists no implicit hierarchical relationship between the committees.  That said, the Marketing Committee’s plan needs to align with the goals and objectives established in the program plan.

For guidance with this process, please refer to the 2025 Program Plan and Budget Process Deck and/or the overall timeline attached.

This is also the time for steering committees to review 2024 program plans with a view of completing any remaining achievable objectives and work with the Foundation team to do so. Further, any discretionary spending remaining needs to be utilised as working group fees collected are to be spent in the year they are received.  Lastly there is no carry forward of fees collected into the 2024 calendar year unless an exception for doing so has been pre-approved by the Executive Director (exception basis only).
